1. Overview of Our Platform

InfoCoach is a SaaS platform that enables coaches to create an AI version of themselves, which can engage with their clients via text or voice in real-time. The platform includes a web-based dashboard for coaches and a Chrome Extension for their members (clients) to access the AI conveniently.

2. Information We Collect

A. Personally Identifiable Information (PII)

We collect names and email addresses in the following contexts:

• Web App: During signup or onboarding, to personalise your experience, deliver updates, and provide support.

• Chrome Extension: During login, for member authentication and account association.

We may occasionally use this information to send important notifications, updates, or feedback requests.

B. Authentication Information

Your email and password are used only during login to generate a secure access token via our backend.

Passwords are never stored or transmitted in plain text.

The access token is stored:

• In browser local storage (Web App)

• In Chrome's extension storage (Extension)

These tokens are used to authenticate requests to our backend APIs.

C. Chat Content & Interaction Data

Chat transcripts between members and their assigned AI agents are stored on our backend.

This enables our clients (the coaches) to review sessions for quality control and support purposes.

✅ We do NOT store or collect audio recordings.

3. What We DO NOT Collect

We do not collect or store the following data from users:

• Audio recordings

• IP addresses

• Browser fingerprinting or metadata

• Location data

• Web history

• Session data from browser tabs

• Any form of tracking or analytics cookies

4. Data Storage & Security

All collected data is securely stored on our backend infrastructure. We take reasonable steps to protect your data from unauthorised access, disclosure, or destruction.

The Chrome Extension does not send data directly to third-party APIs — all processing is routed through our backend over HTTPS.

5. Chrome Extension Permissions Justification

To function properly, the Extension uses the following permissions:

Used to save the user’s authentication token and maintain login state securely.

activeTab

Allows the extension to identify the active browser tab when opening the popup UI. No tab content is accessed or modified.

scripting & tabs

Used internally to support extension functionality, but no content scripts are injected into visited web pages.

host_permissions

Included for future integrations (e.g., detecting open documents). However, the current version does not access or alter any website content, including Google Docs.

6. Data Sharing & Third Parties

We do not sell, rent, or share your personal data with third parties.

Third-party AI services (e.g., OpenAI, ElevenLabs) are accessed only by our backend — never directly by your browser or the Extension.

No external analytics or ad tracking scripts are used.

7. User Rights

As a user, you have the right to:

• Access the chat data stored under your account

• Request deletion of your personal data

• Withdraw consent for data collection and usage

8. Data Retention

Chat transcripts are retained for as long as they are necessary for coaches to review and improve AI performance.

You can request deletion of your data at any time.

9. Children’s Privacy

InfoCoach is intended for users aged 18 and older. We do not knowingly collect data from children under 18. If we become aware of such a case, we will promptly delete the information.

10. Changes to This Policy

We may update this Privacy Policy to reflect changes in features, law, or data usage. Significant changes will be communicated via email or through update notes in the product.
